Togever LMS integrates seamlessly with Zoom to automatically create video meeting links for tutoring sessions. This integration allows your organization to:

Automatically generate Zoom meeting links when scheduling tutoring sessions
Use your organization's Zoom account for all sessions
Manage meetings directly from the Togever platform
Provide a seamless experience for tutors, students, and parents

Getting Started

Prerequisites

A Zoom Pro, Business, Education, or Enterprise account
Admin access to your Togever organization settings
Admin access to your Zoom account

Note: Free Zoom accounts are not supported for this integration. You must have a paid Zoom plan.

Connecting Your Zoom Account

Log in to Togever LMS as an organization administrator
Navigate to Settings → Integrations → Zoom
Click "Connect Zoom Account"
Sign in to Zoom when redirected (use your organization's Zoom admin account)
Authorize the Togever Zoom app when prompted
Confirm the connection is successful - you should see a green "Connected" status

How It Works

Automatic Meeting Creation

When a tutor or administrator schedules a new tutoring session in Togever:

Togever automatically creates a Zoom meeting using your organization's Zoom account
The meeting link is added to the session details
Students, tutors, and parents receive the meeting link via email notification
All participants can join directly from the Togever platform or use the external Zoom link
The meeting is automatically scheduled for the session's start time and duration

Default Meeting Settings

All Zoom meetings created by Togever include these default settings for security and usability:

Waiting room enabled: For security and control over who joins
Host video enabled: Tutor's video starts automatically
Participant video enabled: Student video is ready when they join
Mute upon entry: Students join muted to prevent disruption
Join before host disabled: Ensures tutor joins first

Security & Privacy

Your Data is Protected

🔒Encrypted credentials: Your Zoom access tokens are encrypted using industry-standard AES-256 encryption before being stored
🔐Secure storage: All credentials are stored securely in our database with strict access controls
🚫No data sharing: We never share your Zoom data with third parties
✅Secure connections: All communication with Zoom uses secure HTTPS connections
👥Admin-only access: Only organization administrators can connect or disconnect Zoom
🎯Participant privacy: Meeting links are only accessible to authorized session participants

Managing Your Integration

Testing Your Connection

Verify connection status: Navigate to Settings → Integrations → Zoom

Click "Test Connection": This verifies that Togever can communicate with Zoom

Check connection details: View the connected Zoom account email and last verified timestamp

If test fails: Try disconnecting and reconnecting your Zoom account

Disconnecting Zoom

Navigate to: Settings → Integrations → Zoom

Click "Disconnect": Confirm the disconnection when prompted

Impact: Disconnecting will not delete existing meetings, but new sessions will not have Zoom links automatically generated

Existing sessions: Previously created Zoom meetings will continue to work

Reconnecting After Token Expiry

Automatic refresh: Togever automatically refreshes your Zoom access tokens

If refresh fails: You'll see a notification in the Togever dashboard

To reconnect: Navigate to Settings → Integrations → Zoom and click "Reconnect Zoom Account"

Re-authorize: Follow the authorization flow again when prompted

Troubleshooting

"Connection Failed" Error

Check Zoom account type: Ensure you're logging in with a Zoom account that has a Pro or higher plan (free accounts are not supported)

Verify admin permissions: Check that you have admin permissions in your Zoom account

Clear browser cache: Sometimes cached data can cause issues - try clearing your browser cache

Try a different browser: Test the connection in a different browser

Disconnect and reconnect: Try removing the connection and setting it up again

Meeting Links Not Generating

Check connection status: Verify your Zoom connection status in Settings → Integrations

Zoom account status: Ensure your Zoom account is active and in good standing

Subscription limits: Check if you've exceeded Zoom's meeting limits for your plan

Re-authorize: Try reconnecting your Zoom account

Create test session: Schedule a test tutoring session to see if the link generates

Contact support: If the issue persists, contact Togever support with details about the session

"Token Expired" Message

This is normal: Zoom access tokens expire periodically for security

Automatic refresh: Togever usually refreshes tokens automatically

Manual reconnect: If auto-refresh fails, click "Reconnect Zoom Account" in the integration settings

Re-authorize: Follow the authorization flow again

This won't affect existing meetings: Previously created meetings will continue to work

"Application Not Found" Error

This is temporary: The Togever Zoom app is being reviewed by Zoom

Expected resolution: This should be resolved once Zoom approves the app

Workaround: You can manually create Zoom meetings and paste the links into tutoring sessions

Check status: Contact Togever support for updates on the app approval status

Students Can't Join Meetings

Check meeting link: Verify the meeting link is visible in the session details

Waiting room: Ensure the tutor has started the meeting and admitted students from the waiting room

Meeting time: Meetings may not be joinable too far before the scheduled start time

Zoom app required: Some features require the Zoom desktop or mobile app

Browser compatibility: Ensure students are using a supported browser (Chrome, Firefox, Safari, Edge)

Permissions & Scopes

Togever's Zoom integration requires the following permissions to function properly:

🎥 Create and manage meetings

Allows Togever to create Zoom meetings for tutoring sessions and manage meeting settings.

👤 Read user information

Used to verify your Zoom account connection and display the connected account information.

📋 Read meeting details

Enables Togever to retrieve and display meeting information within the platform.

We only request the minimum permissions necessary to provide the integration functionality. Togever does not access your Zoom recordings, chat history, or personal contacts.
